Starting Rate: $23/hour
The Information Technology Administrative Coordinator functions as a central point of communication between our internal and external customers and the Information Technology (IT) Department. They are responsible for greeting/triaging walk-in support for end business professionals and staff. They assist in the preparation of regularly scheduled reports and processing invoices. They also assist with contacting vendors and work with IT leaders around any IT project administrative needs.
This position is fully on-site in Framingham, Monday through Friday 9am-5pm.
Responsibilities
- Serve as first point of contact in IT for all walk-ins, schedule a booking appointment or create a support ticket if needed.
- Manage department schedule by maintaining calendars for department personnel (as needed) and arranging meetings.
- Maintain IT department supplies. Place orders and research cost-effective options.
- Maintain IT Department contact lists.
- Process all invoices. Code invoices and work with various financial departments to ensure invoices are processed accordingly.
- Contact Phone/Internet/Cable Vendors with payments when needed.
- Assist with conference room setup.
- Assist with project management for the Information Technology Team Leaders
- Schedule vendors to sites for installations and repairs.
- Adhere to all principles related to the Advocates Way.
- Attends and actively participates in supervision and staff meetings.
- Perform all duties in accordance with the agency’s policies and procedures.
Qualifications
- Must have a High School Diploma and 1-2 years of administrative and Information Technology experience.
- Ability to maintain a professional level of customer service at all times.
- High proficiency with IT customer support issues, specifically with mobile devices.
- Must be able to perform each essential duty satisfactorily.
- Proficiency in MS Office (MS Excel and MS PowerPoint) and Smartsheet.
- Strongly prefer that a candidate will have a demonstrated understanding of and competence in serving culturally diverse populations.
- Excellent organizational skills, time management, multi-tasking, and planning details.
- Ability to work under time constraints and manage multiple projects simultaneously.
- High energy level, superior interpersonal skills, and an ability to function in a team atmosphere.
- Must possess the ability to read and speak English.
